Online Training
Clients’ purchased KPA solutions, packages, and add-ons determine course availability. Vera EHS and Vera F&I initially configure training courses assignments based on an employee’s job category.
Beyond that, client administrators can edit default training requirements. If they do so, this will affect individual employee’s assigned training courses. Ultimately, client administrators not KPA, have final say on course assignments and whether they wish to override default course frequency.
ASSIGN ONLINE COMPLIANCE COURSES
Vera EHS and Vera F&I initially configure training courses assignments based on an employee’s job category. Client administrators can also edit the training default requirements which will affect the assigned training courses for individual employees.
Who can do this?
- Vera EHS/F&I Administrators
Instructions
- Click on the down arrow next to Training.
- Select Manage Compliance Training.
- Click on Topic. Find the training course title that you want to administer. Select the title.
- Administer Topic. Next to your employee names, indicate Make Optional or Make Required. This will set which courses you expect employees to take and which ones you don’t.
CHANGE ONLINE COMPLIANCE COURSE EXPIRATION DATES
KPA sets online training course frequency based on best practices and regulatory requirements. However, a client administrator at the parent account level can override the default setting if employees should take courses on a different cycle.
Note: This may have compliance liability and changes impact all locations.
Who can do this?
- Vera EHS/F&I Administrators with an "all" access list.
Group Account Instructions
- Click on the down arrow next to Training.
- Select Topic Management.
- Select View By Topic. Choose topic from the drop down. Find the course title that you are interested in.
- Edit Training Defaults. Acknowledge the warning about altering default course expiration periods. Continue.
- Reset the Expiration Period. You can Apply Expiration to All Positions or tailor it for specific positions. Use days: 182.5 = ½ year, 365 = 1 year, 730 = 2 years, etc. Save.
- Next, Update Expiration Dates for employees who previously completed the course. This automatically updates everyone’s records and resets when they will need to take the course in the future.
VIEW EMPLOYEES’ COMPLIANCE TRAINING CERTIFICATES
Once employees finish a KPA course, a training certificate is emailed to them (provided an email is on file in Vera Suite). They can also view their certificates in Vera Suite. Administrators can view employees’ training certificates too.
Who can do this?
- Vera EHS/F&I Administrators
Instructions
- Click on the down arrow next to Training.
- Select Manage Compliance Training.
- Select the employee/student name whose certificate you want to see.
- Select Administer Student.
- Find the desired training course title. Select Certificate to download the employee’s training certificate.
ACCESS COMPLIANCE TRAINING REPORTS
For compliance tracking purposes, employers need to know which employees completed required online training courses.
Who can do this?
- Vera EHS/F&I Administrators
Instructions
- Click on the down arrow next to Training.
- Select Manage Compliance Training.
- Choose View By Topic or View By Student. You may need to click on the down arrow to expand the list view.
- You’ll see at-a-glance Complete and Incomplete percentages for each online training category. For more details, select on the down arrow next to the training category.
- For more detailed course completion information, select Topic title or the Student/Employee Name. Here, you’ll see which employees have completed the course and who has not.
- For a comprehensive report of all training courses, Export Training Report.
