Data Subject Access Requests (DSAR) populated using KPA DSAR form will be sent to the Manage Privacy Request queue within Vera Suite.
Who has access? Available to Administrators with Privacy & Safeguards Pro.
How do I assign a Request Manager?
One administrator from the location should be selected to manage privacy requests, when a new request is raised it will automatically be assigned to this user.
On the Key Performance Indicators Dashboards > Under Establish Safeguards Team
Select Add New and then Select User
Select a user from the list of Administrators at the location and set the Privacy Request Manager toggle
Complete the form and remember to save.
How do I re-assign a Request Manager?
If you need to re-assign a request so that it is being managed by a different administrator at the location open the request and select a new user from the Assigned To: drop down.
Privacy Request Tasks.
When a new DSAR request is completed a Privacy Request Task will be created for the Privacy Request Manager. This task will be automatically closed when the request has been closed.
If a request is reassigned the task will be closed for the original assignee and a new task will be created for the new case owner.
How do I open Manage Privacy Requests? Privacy Requests can be opened for the left-hand navigation menu under Privacy & Safeguards.
How do I find completed or denied requests?
By default, you will see all In Progress Privacy Requests, to view requests in a different status use the Status filter in the grid to view other request statuses.
How do I resend the Verification Link?
When a DSAR is submitted an email will be automatically sent to the requestor to verify the email address used on the request. This link will be valid for 24 hours, if you need to resend the validation email
Open Manage Privacy Requests
Select the Request Case and edit
Open Identity Verification
Select Resend Verification Link
A new email will be sent to the requestor with a link which is valid for 24 hours.
How do I find requests for a different location?
By default, you will see requests for you Primary Location, to view request in a differently location use the Location filter in the grid to view other Locations which you have access to.
How do I email vendors to notify them of the request?
If you wish to send an email to vendor with the requestors contact details and request type
Open the Request
Select the Vendor & Data Sources section
Select Email Vendors
User the list to select the Vendors to email
Once selected press Email Vendors.
An email will be sent to the contact at the vendors.
How to close a request.
Open the Request
Complete all sections of the request.
Select Finalize & Complete
Select Outcome and choose which resolution best matches the request.
Save.
An email will be sent to the requestor with the details of the resolution.
